1. Introduction

Recallr AI ("Recallr," "we," "us," or "our") is a Delaware company that provides a centrally accessible intelligence and memory service for private capital firms. This Privacy Policy describes how we collect, use, disclose, retain, and protect personal information in connection with our website, pilot programs, connectors, and related services (collectively, the "Service").

2. Information We Collect

  • Account and Workspace Information: Names, business email addresses, organization names, roles, account credentials, permissions, and workspace settings.
  • Customer Content: Information submitted to or connected with the Service, including deal memos, diligence materials, partner notes, meeting transcripts, investment committee records, portfolio updates, filings, returns, financial information, emails, messages, and related institutional records.
  • Connected-Service Data: Information obtained from services that a customer or authorized user chooses to connect, subject to the permissions granted through that service.
  • Usage and Technical Data: API and connector activity, memory operations, feature usage, performance metrics, IP address, browser and device information, diagnostic data, and security logs.
  • Communications: Information provided during pilot onboarding, support requests, product feedback, surveys, and other communications with Recallr.

3. How We Use Your Information

We use information to:

  • Provide, operate, secure, and support the Service
  • Ingest, organize, retrieve, and connect authorized institutional knowledge within a customer workspace
  • Generate user-requested summaries, search results, diligence support, reconciliation analysis, and decision context
  • Apply workspace permissions and access controls
  • Communicate service, security, and pilot-program updates
  • Diagnose issues and improve performance and reliability
  • Detect, prevent, and investigate fraud, abuse, or security risks
  • Comply with applicable law and enforce our agreements

4. Data Processing & Memory Content

During pilots, the Service is made available through a centralized Recallr URL. Customer Content is separated by workspace and processed according to configured permissions. Recallr may use approved cloud, infrastructure, and model providers solely to operate requested Service features. Customers retain ownership of Customer Content. Recallr does not use Customer Content to train generalized AI models or sell Customer Content.

5. Google Workspace API Data

When you connect a Google Workspace service, Recallr accesses only the Google user data you authorize and that is required for the connector features you enable. Depending on the connector, this may include account information, Google Drive files and metadata, Gmail messages and metadata, or Google Calendar events. The OAuth consent screen identifies the specific permissions requested before access is granted.

Recallr uses Google user data solely to import, organize, search, summarize, and surface authorized information within your private workspace. We do not sell Google user data, use it for advertising, or use it to train generalized AI models. We do not transfer Google user data except as necessary to provide user-facing connector features, maintain security, comply with applicable law, or with your explicit consent.

Recallr's use and transfer of information received from Google APIs adheres to the Google API Services User Data Policy, including the Limited Use requirements.

You can disconnect a Google connector at any time to stop future access. Imported Google data is retained according to your workspace settings and can be deleted through the product or by contacting us.

6. Service Providers and Disclosure

Recallr may disclose information to infrastructure, hosting, security, analytics, support, and model providers that process data on our behalf under contractual restrictions. We may also disclose information when directed by the customer, with consent, to protect the Service or its users, in connection with a corporate transaction, or where required by law. We do not sell personal information or use it for targeted advertising.

7. Data Retention and Deletion

We retain account and workspace information while needed to provide the Service and administer a pilot or customer relationship. Customer Content is retained according to workspace settings and the applicable pilot agreement, order form, or other written agreement. Authorized users may delete content through available product controls or request deletion by contacting us. Limited copies may remain temporarily in backups, security logs, or where retention is required by law.

8. Data Security

We maintain administrative, technical, and organizational safeguards designed to protect information, including encryption in transit and at rest, access controls, workspace permissions, logging, and security review processes. No method of transmission or storage is completely secure, and we cannot guarantee absolute security.

9. Privacy Roles and Your Rights

For Customer Content, the customer generally determines why and how personal information is processed, and Recallr processes it on the customer's instructions. Recallr separately determines how it processes account, website, security, and business-operation data.

Depending on your location, you may have rights to access, correct, delete, restrict, object to, or export personal information. You may also have the right to appeal a denied request or withdraw consent. To exercise a right, contact us at devasheesh@recallrai.com. We may direct requests concerning Customer Content to the relevant customer organization.

10. International Processing

Recallr and its service providers may process information in the United States and other countries. Where required, we use appropriate safeguards for international transfers of personal information.

11. Children

The Service is intended for business users and is not directed to children. We do not knowingly collect personal information directly from children through the Service.

12. Changes to This Policy

We may update this Privacy Policy as the Service evolves. We will update the date above and provide additional notice where required by law or where changes materially affect how we process information.
